1. Presentation Format

Please refer to the following sections for information on presentation procedures:

2. PC Presentation

1) Location and Hours for Presentation Data Check and Submission
  • Please complete the preview and submission of your presentation data at the PC Center in the venue at least one hour before your presentation.
    * Presentation data may also be submitted on the day before your presentation. However, priority may be given to presenters whose presentation times are approaching.
  • After submitting your presentation data, please take your seat in the Next Presenter’s Seat at the front left of the presentation room at least 20 minutes before your presentation.
    Upon taking your seat, please inform the operator at the PC Desk in the room that you have arrived.

2) Preparation of Presentation Data

A widescreen format (16:9) is recommended for presentation slides. The 4:3 format can also be used.

A) Presenters Bringing Presentation Data
① Accepted media: USB flash drive
* Please check that your USB flash drive is free of viruses using the latest security software before bringing it to the venue.
* MO, floppy disks, ZIP disks, Blu-ray discs, and other media cannot be accepted.
② If the presentation data exceeds 1 GB, please bring your own computer.
③ The following operating system and application will be available at the venue:
* OS: Windows 11
* Application: Microsoft PowerPoint 2024 for Windows
④ If you are using a Macintosh, please bring your own computer.
Although presentation data can be opened on Windows, the display may differ from that on a Macintosh.
⑤ Please use the following standard fonts included with the operating system:
Times New Roman, Arial, Arial Black, Arial Narrow, Century, Century Gothic, Courier New, Georgia
⑥ Due to session scheduling and limited space at the podium, “the Presenter View” feature cannot be used.
If you need to refer to presentation notes, please print them out in advance and bring them with you.
⑦ If your presentation includes video or audio, please inform the staff at “the PC Center” when submitting your presentation data.
* If your presentation requires linked or reference files, please place all related files in the same folder.
* Please bring your own computer as a backup.
* For Windows presentations, please use video files that can be played using the codecs included in the standard installation of Windows 11 and Windows Media Player 12. MP4 or WMV formats are recommended.
⑧ At the time of your presentation, the first slide of your presentation will be displayed on the screen in Slide Show mode. You will operate the presentation yourself using the keypad and mouse at the podium.

All presentation data will be securely deleted after the congress.

B) Presenters Bringing Their Own Computer
① An HDMI cable will be provided at “the PC Center”.
* If your computer requires a connector other than HDMI, such as Mini DisplayPort or USB Type-C, please bring the appropriate adapter or cable with you.
External Output Cable (Example)
② When saving your presentation file, please use the following file name format:
[Abstract Number] [First author’s Name] [Room Number]
Example: WS2-2 Taro Ganchi 3
③ If your presentation includes video or audio, please inform the staff when your presentation data is checked.
④ Please disable the screen saver and power-saving settings on your computer in advance.
⑤ Power outlets will be available at the venue. Please be sure to bring your AC adapter/power cord.
⑥ Please bring your computer to the Operator Desk at the front left of the presentation room at least 20 minutes before your scheduled presentation. You may also bring it during the preceding presentation.
Staff will connect the necessary cables and check the external display output.
⑦ During your presentation, the first slide of your presentation will be displayed on the screen in Slide Show mode. Please use the monitor, keyboard, and mouse provided at the podium.
Your computer will remain at the Operator Desk, where the USB cable for the keyboard and mouse will be connected. You can advance your slides remotely using the keypad and mouse at the podium.
⑧ Due to session scheduling and limited space at the podium, the Presenter View feature cannot be used.
If you need to refer to presentation notes, please print them out in advance and bring them with you.
⑨ Please be sure to bring a backup copy of your presentation data.
⑩ After your presentation, please promptly collect your computer from the Operator Desk.

 

3. Advance Submission of Presentation Slides and Presentation Procedures

1) Presentation Format

Presentations in these rooms will be conducted in an operator-less format, with no PC operator assigned to the room.

Presentation data will be displayed on a single monitor at a resolution of 1920 × 1080 pixels.

Presenters are required to submit their presentation data online in advance. On the day of the presentation, please proceed to the Next Presenter’s Seat at the front left of the presentation room at least 15 minutes before your scheduled presentation.

* Please bring a backup copy of your presentation data in case of any unforeseen problems on the day of your presentation.
2) Operating the Presentation System

During your presentation, you will operate the PC provided at the podium and display your pre-submitted presentation data on the monitor.

A laptop computer and mouse will be provided at the podium. Presenters are required to operate the system themselves.

The presentation system provides the following functions:

① Pointer Function
You can draw freehand lines on the screen. The lines will disappear automatically after a few seconds.
② Slide Overview Function
You can select and display a specific slide.
③ Slide Comparison Function
Two slides can be displayed side by side for comparison.
④ Abstract and Author Information Display
The authors (first author and co-authors) and the abstract text can be displayed in full-screen mode.
* Please strictly adhere to your assigned presentation time. Your presentation time will be announced separately. A timer will be provided at the podium so that you can monitor your presentation time.
* Notes for Presenters
No PC operator will be assigned to the presentation room.
Please bring a backup copy of your presentation data in case of any unforeseen problems on the day of your presentation.
Only presentation data submitted in advance can be used for your presentation. Personal laptops or other computers brought by presenters cannot be used on the day of the presentation.
3) Advance Registration of Presentation Slides

Advance registration of your presentation slides is required.

Please note that there will be no PC reception desk on the day of your presentation, and registered files cannot be replaced or updated after submission.

A preview booth will be available where you can check your registered presentation data using the actual presentation environment.

  • PDF
* If your slides contain embedded videos, please register your presentation in PowerPoint (.pptx) format. Files containing macros (.pptm) cannot be used.
* Recommended versions:
Windows: PowerPoint 2021 / Microsoft 365
Mac: PowerPoint 2021 / Microsoft 365
* Using an earlier version may cause problems such as misaligned text or formatting.
* If you use software other than Microsoft PowerPoint (e.g., Keynote), please convert your presentation to PowerPoint or PDF format before registration.
* If text or formatting is distorted when converting to PowerPoint or PDF, please consult the Technical Support Desk.

Slide Size
Recommended: Widescreen (16:9)

Fonts:
Please use standard fonts included with the operating system.

Recommended fonts:
Times New Roman, Arial, Arial Black, Arial Narrow, Century, Century Gothic, Courier, Courier New, Georgia

Please note:

* Among standard Mac fonts, Osaka may cause text misalignment or garbled characters.
* Special or non-standard fonts may be automatically replaced with standard fonts, which may result in text misalignment or garbled characters.

File Size and Number of Slides

  • The maximum file size is 2 GB.
  • There is no limit on the number of slides. However, please ensure that your presentation fits within the allotted presentation time. Please delete all unnecessary hidden slides.
  • Hidden slides may cause the notes to be displayed in an incorrect position.

Audio and Video
Videos, including videos with audio, can be embedded in your PowerPoint presentation. Audio will be played through the speakers in the presentation room.

When embedding a video:

  • Please insert the video file itself, rather than linking to the video file.
  • All videos must be trimmed as necessary. Please do not cover unwanted portions of a video with shapes.
  • Please convert videos to MP4 (.mp4) format before inserting them.
  • A frame rate of approximately 30 fps is recommended.
  • 4K videos cannot be used.
  • Please do not rotate videos or change their orientation.

PowerPoint Animation
Animations cannot be used.
If animations are included in your registered presentation data, they will be disabled.

Presenter Tools
Although the presentation system differs from the PowerPoint Presenter View, it provides functions such as:

  • Pointer display
  • Viewing all slides
  • Comparing slides

Notes in Slides
Notes included in your PowerPoint slides will be displayed on the presenter’s monitor during your presentation. They will not be displayed on the audience’s monitor.

File Name
There are no specific requirements for the file name.

* Please note that the file name of your registered data will be automatically converted by the system.

Virus Check
Please be sure to perform a virus scan of your presentation file before registration.

② Preparation of Presentation Slides (With Animation)

File Formats
The following file formats can be registered:

  • PowerPoint (.pptx)
  • PDF
* If your slides contain embedded videos, please register your presentation in PowerPoint (.pptx) format.

4. Poster Presentations

Poster Display Location:Kobe International Exhibition Hall, No.1 and No.2 Building, 1F

1) Poster Display Panel Specifications
① A poster display panel of the size shown below will be provided for each abstract.
* Pins for mounting your poster will also be provided.
② The abstract number (20 cm wide × 20 cm high) will be displayed in advance in the upper left corner of the panel.
Please prepare the abstract title, first author’s name(s), and affiliation(s) for the area to the right of the abstract number (70 cm wide × 20 cm high).
③ Please prepare your poster so that it fits within 90 cm wide × 170 cm high.
④ Any posters that have not been removed by the designated removal time will be disposed of by the Management Secretariat.
* For poster presentations, physicians are required to prepare their posters in English. Presenters who are not physicians may prepare their posters in English or Japanese; however, to promote internationalization, the Congress recommends preparing posters in English.

3) Poster Presentation Method
① Please give your presentation and participate in the discussion according to the instructions of the moderator.
② Presenters are requested to be at their poster at least 10 minutes before the scheduled start of the session.

6. To Chairs

Chairs are requested to take their seats at the front-right row of each session room at least 20 minutes before the session starts. The venue director will confirm your name and inform you of the information of the session if needed. Progress will be at your discretion, but please ensure punctuality.
